03 — Roles & access
Role groups. Group-wide access. Clear routing.
Every KevField project organizes people into role groups — Owner, Contractor, Architect, Engineers, Trades, and specialist consultants. The party who purchases the project becomes the Admin and invites the rest of the team.
Crew coordination
Keep every trade aligned on the same slab.
Admin = whoever buys the project. If the Owner purchases, they are the Admin. If the General Contractor purchases, they are the Admin. The Admin invites the rest of the team and manages billing.
Group-wide access
When a document is routed to a role group, every user in that group receives the notification and gets full actions — view, edit, comment, sign, approve, or delete. The sender's own group also keeps full access. Sub-roles (e.g. Billing, PM, Superintendent) label who acts at each step but never restrict visibility.
Owner group
Owner, Owner's Rep., CM — all can see and act on anything routed to Owner.
Contractor group
GC, Sub-contractor, PM, PE, Superintendent, Foreman — full project ops and field execution.

Each project is subject to an audit within the first months of activation, and additional documentation may be requested to verify the project's total budget. What does the pricing include?
Every module — daily reports, RFIs, submittals, plans, contracts, schedules, change orders, invoices and pay apps, inventory, media, and meeting minutes — plus the full AI suite (including Kevin), unlimited users across every role group, unlimited storage, and email support for one active project.
Who becomes the project Admin?
Whoever purchases the project. If the Owner buys it, they're the Admin. If the General Contractor buys it, they're the Admin. The Admin invites the rest of the team and controls billing.
Can everyone on the project edit documents?
Yes — but scoped by routing. Every invited member has full actions (view, edit, sign, comment, delete) on any document routed to their role group, plus anything their own group sent. Daily reports are visible to everyone on the project as read-only, with editing restricted to the author's role group and admins.
How does document routing work?
When you send an RFI, submittal, change order, or invoice, you pick the target role groups (and optional sub-roles for labeling). Every user in those groups gets the inbox + email notification and can act on it — not just one designated reviewer. The sender's own group always keeps full access.
What is Kevin?
Kevin is your AI project assistant. Ask Kevin anything about the project — open RFIs, schedule risk, draft a change order, send a reminder. Kevin also delivers a daily project briefing on the dashboard and Kevin page, surfacing current challenges, overdue items, identified risks, and recommended next actions.
What won't Kevin share?
Kevin is hard-blocked from disclosing any user's personal information (emails, phone numbers, addresses), financial details (billing, card/bank numbers, invoice totals, contract amounts), or passwords, tokens, or any authentication credentials — even when asked. These guardrails apply to every Kevin surface, including the landing-page chat.
How does the closeout Files archive work?
Project Admins get a Files page that mirrors the menu as folders (Daily Reports, RFIs, Submittals, Contracts, Invoices, Change Orders, Schedule, Plans, Media, Meeting Recordings). It auto-collects only final/approved/closed documents and lets the Admin preview, download individual files, ZIP a folder, or ZIP the entire project for audit and handover.
